Membership renewal reminder system changes March 2025

We will be making changes to the membership renewal reminders system for Mid-March 2025
The current system works as below:

  • A first renewal reminder letter is sent out by post on or around the 15th of the month prior to renewal date.
  • A second renewal reminder is sent out by email on or around the 12th of the month after the renewal date, this goes out to membership not renewed at this time.
  • Memberships are lapsed if not renewed at the end of the following month.
  • Membership data stays on the system for 2 years before being auto deleted, or until the member requests deletion.

This current system is becoming costly in paper, envelopes, postage, and above all time, especially as membership has trebled over the last 15 years.
Therefore, we will be introducing a new reminder system from Mid March 2025, the new system will work as below:

  • A first email reminder will be sent out on or about the 15th of the month prior to renewal date this includes website renewal links and info on bank details for standing orders or bank transfers, plus links to renewal forms
    • Members who do not have a working email address on the membership system will still receive postal paper reminders as before – If any member who does wish to keep receiving postal renewal notices EVEN if they have working email address on the system they can do so, please contact Kevin Baker memsec@docgb.net to arrange this.
  • A second email reminder will be sent out on or around the 12th of the month after the renewal date, this will remain email only – no change to the existing system.
  • Memberships are lapsed if not renewed at the end of the following month - no change to the existing system.
  • Membership data stays on the system for 2 years before being auto deleted, or until the member requests deletion – again no change to the system.
